JOB DESCRIPTION
TITLE: RECORDS DEPUTY I
DEPARTMENT: AUDITOR
APPOINTMENT: This is a regular, full time, non-exempt, Union (Local 792CH)
position.
SUPERVISOR RELATIONSHIP:
The Records Deputy I reports to the Recording Supervisor and the County Auditor, and maintains close working relationships with administrative and other personnel, public agencies, and the general public. This position works under the guidance of State and Federal regulation, and County policies and procedures.
JOB SUMMARY:
The Records Deputy I is responsible for giving customer service to the walk in public and over the telephone. This position is also responsible for Records maintenance, which may include recording/processing legal documents, retrieving documents for the public, and maintaining voter registration files.
ESSENTIAL FUNCTIONS:
50% Customer Service
- Attend to customers at the counter and on the telephone.
- Assist customers with retrieving information regarding recorded documents.
50% Records Maintenance
- Operate computer, cash register and ten-key calculator
- Record and process legal documents for Kittitas County.
- Index recorded documents for public retrieval.
- Scan documents for image retrieval.
- Assist in maintaining voter registration files.
- Assist election staff with election preparation.
- Assist in special projects as assigned by supervisor.
MINIMUM QUALIFICATIONS:
- High School diploma or GED AND one year of experience working with computers, word processing software, and spreadsheet software.
PREFERRED QUALIFICATIONS:
- AA Degree in accounting. Knowledge of government funding, bonds, collections, and disbursements.
- 2 years experience working in a similar position for a public agency.
WORKING CONDITIONS:
The person in this position will be required to work in an office setting with periods of standing, sitting, and kneeling. Work hours are standard with some weekend and evening work as needed. Regular attendance is required. Periodic travel will be required for ongoing training opportunities.
