Job Description
TITLE: OFFICE MANAGER

DEPARTMENT: Juvenile Probation Services
APPOINTMENT: This is a regular, non-exempt, full-time appointment.
SUPERVISORY RELATIONSHIPS:

Reports directly to the Director of Probation Services and maintains a close working relationship with administrative and other personnel. Responsible for the supervision of one or more employees. Works under the guidance of State and Federal regulation, and County policies, regulations and procedures.

JOB SUMMARY:

Monitors the Juvenile Probation Department budget activities, to include monthly expenditures. Prepare the departmental payroll for signature and monitor employees’ time slips (hours worked, vacation leave, sick leave, etc.). Manages office operations, which includes monitoring financial records, processing incoming and outgoing mail, ordering office supplies, and developing and maintaining filing systems. The Office Manager will also provide clerical support to other office personnel.

ESSENTIAL FUNCTIONS:

        35% Provides clerical support for departmental staff, and maintains complete and accurate juvenile court social files and other records. Performs receptionist duties as needed.

        20% Manages office operations including processing incoming and outgoing mail, ordering and maintaining office supplies, maintaining Office of the Administrator of the Courts computer and other hard and soft filing systems and monitoring the condition of office equipment for services and repair.

        20% Assists in the preparation of the Juvenile Probation Department budget, monitors monthly expenditures, completes payroll, and monitors employees’ time slips (hours worked, vacation leave, sick leave). Maintain complete and accurate financial records including determining and tracking legal/financial obligations.

        15% Provides administrative and clerical support to the Regional Program Development Unit/Juvenile Justice Advisory Committee. Supervise receptionist.

OTHER FUNCTIONS:

        10% Performs other duties as assigned.

Minimum QUALIFICATIONS:

AA degree in business or accounting AND two years of related office experience, (one year of supervisory experience) OR an equivalent education/experience.

PREFERRED QUALIFICATIONS:

Knowledge of Washington States Juvenile Justice System, and OAC Judicial Information system, and BARS. Crisis intervention skills and abilities.

NECESSARY SPECIAL REQUIREMENTS:

Ability to deal with aggressive and hostile offenders and families.
