TITLE: LEGAL PROCESS ASSISTANT III
DEPARTMENT: UPPER DISTRICT COURT
APPOINTMENT: This is a regular, full time, 12-month non-exempt position.
SUPERVISORY RELATIONSHIP:
The Legal Process Assistant III reports to the Legal Process Supervisor and
maintains close working relationships with administrative and other personnel,
outside agencies, and the general public. The Legal Process Assistant III works
under the guidance of State and Federal regulations, and County policies and
procedures.
JOB SUMMARY:
This position has the responsibility for performing a wide variety of highly technical operations. Perform all clerical activities associated with case processing, and provides technical expertise and assistance to other staff.
ESSENTIAL FUNCTIONS:
5% Recommends procedural changes within a department to the Legal Process Supervisor.
Implements departmental changes required by law.
40% Responds to and initiates departmental correspondence.
Responsible for courtroom recording equipment.
Responsible for transcripts of all proceedings for appeal to the Superior court.
Staffs courtroom during sessions, records proceedings, maintains recording logs, marking exhibits and processing orders of the court.
Keeps accurate and complete records making required docket entries.
Prepares for issuance of orders of commitment and release, warrants, subpoenas, summonses and other legal documents as ordered by the court.
10% Prepares court calendars for civil, criminal, small claims, and traffic infractions cases.
Prepares case files for court sessions, insuring appropriate documentation is in the file.
Assists in the scheduling and coordination of jury trials, summonsing jurors and notifying litigants.
5% Receives payment of court fines, bail, penalty assessments and fees, recording and receipting payments according to established court procedures.
10% Arranges time payments for fines, monitoring payments and taking appropriate action for delinquent payments in accordance with court policy.
Responsible for receipting, disbursing and accounting for large amounts of money.
Processes commitments, releases and referrals and contacting appropriate agencies (probation, mental health center, alcohol information center).
5% Monitors case disposition for compliance to court orders.
15% Responds to telephone and counter inquiries.
10% Sorts and routes documents, and may initiate correspondence responding to court-related inquiry or requested information.
OTHER FUNCTIONS:
- Performs duties of the Legal Process Supervisor when the Legal Process Supervisor is absent.
MINIMUM QUALIFICATIONS:
- High School Diploma or GED.
- Two years of experience in a court setting or a combination of education and experience to include experience working with computers, and word processing software.
PREFERRED QUALIFICATIONS:
- Knowledge of bookkeeping practices
WORKING CONDITIONS:
The person in this position will be required to work in a normal office environment. Hours will be standard some evening and weekend work may be required. Regular attendance is required.
