REPORTS TO: LIBRARY ASSOCIATE IN COLLECTION SUPPORT

MISSION:

Assist by receipting in items ordered for collection; shelving; shelf reading; physical processing of library materials; searching lists and shelves, filing and other tasks relating to collection and shelf maintenance.

SUMMARY:

Search selection lists and bibliographies in the library’s database; verify orders received with packing slips; property stamp, tattle tape new materials and similar processing tasks; type/apply spine labels; stamp and box withdrawn materials; sort and box donated items for storage; sort and display donated magazines; receipt in newspapers, keep back issues in order; shelf read periodicals and books; shelve returned items; search for overdue and missing items; clean and mend library materials; file updates in reference books, publisher catalogs, & other items; photocopy, collate, mail.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

All of the following are to be performed while adhering to City of Ellensburg operational policies, safety rules, and procedures.

Staff Support Duties:

      Search titles in database and mark selection lists and bibliographies with library holdings

      Open and unpack boxes of new materials and verify items against packing slips

      Place order slips in individual items; presort into categories for temporary storage

      Property stamp new items; apply labels as needed

      Apply security tags to new materials as needed

      File updates to reference materials

      Fill tax form rack from January through April

      Renew paper supplies in photocopier, public catalog printers, fax machine, scratch paper boxes for patrons, etc.

      Stamp discarded items when withdrawn, mark bar codes and box them for storage

      Sort and move donated magazines; maintain order on magazine exchange shelves in library entrance; recycle unwanted items

      Box unwanted donated books and items for library book sale

      Check in newspapers; stamp and display, keep back issues in order on shelves; wee back issues and pack for recycling pickup

      Shelve items when circulation staff has them ready for shelving

      Read shelves to maintain correct shelf order

      Search shelves for overdue items as listed by head of circulation

      Search for missing items; locate items needed by catalogers

      Type spine labels for new materials, or label older items as needed

      File and keep publishers catalog collections in order for librarians

      Photocopy agendas, forms, flyers, brochures, etc.; collate, staple, distribute

      Use postage machines to mail correspondence and small packages

Miscellaneous; or special assignments:
      Answer telephone and take messages during staff meetings

      Assist at annual book sale

Other duties may be assigned.

TYPE OF SUPERVISION RECEIVED:

Quantity and quality of employee's work is subject to a close check by Library Associate in Collection Support.

QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.       EDUCATION and/or EXPERIENCE:

      High school diploma or general education degree (GED); one year related experience and/or training; or equivalent combination of education and experience.

      LANGUAGE SKILLS:

      Ability to read and comprehend simple instructions, short correspondence and memos. Able to write correspondence, Ability to effectively present information in one-on-one and small group situations.

      MATHEMATICAL SKILLS:

      Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

      NECESSARY KNOWLEDGE, SKILLS AND ABILITIES:

      A) Some knowledge of general office practice and procedures; some knowledge of library organization and purpose; knowledge of alphabetical and whole/decimal number filing;

      B) Skill in keyboard and computer data entry; operation of listed tools and equipment; ability to maintain confidentiality of patron records.

      C) Ability to communicate effectively, verbally and in writing; to implement policy and procedure; to exercise initiative and judgment in completing tasks; to organize various activities; ability to establish and maintain effective working relationships with employees and supervisors.

      SPECIAL REQUIREMENTS

      First aid and CPR certification

      TOOLS AND EQUIPMENT USED

      Computer keyboard, printers, book carts, typewriter, copy machine; phone; postage machine small office tools.

Tasks affected include filing, shelving books, computer work, shelving by using colored dots, and processing books.

While performing the duties of this job, the employee is regularly exposed to airborne particles. Sharp utensils are used in some cases.
