JOB SUMMARY

Performs a variety of routine and complex clerical, secretarial, and administrative support work in maintaining office operations, preparing legal documents, and providing administrative assistance.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receives the public; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.
  • Locates and notifies responsible parties for pretrial and court appearances.
  • Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.
  • Plans conferences and training sessions.
  • Types legal documents such as motions, memoranda of law, briefs, orders, petitions, and sentencing recommendations; proofreads documents.
  • Maintains automated court and appointment calendars; prepares bi-monthly criminal docket; maintains logs and tracks cases and appeals.
  • Acts as custodian of departmental documents and records. Establishes and maintains filing systems, control records and indexes using moderate independent judgment; arranges for filing, recording and service of legal documents via mail, facsimile or messenger.
  • Schedules appointments, and performs other administrative and clerical duties, such as data processing and bookkeeping.
  • Receives sorts and distributions incoming mail to attorneys.
  • Arranges for filing, recording and service of legal documents via mail, facsimile or messenger.
  • Assists attorneys in preparing Council items by gathering information, copying and tracking review process.

SUPERVISION RECEIVED AND EXERCISED

Works under moderate to general supervision.

No formal supervisory responsibilities.

EDUCATION AND EXPERIENCE REQUIREMENTS

Graduation from high school or a GED equivalent.

Three or more years of responsible related experience performing secretarial and clerical duties, preferably in a legal office environment.

Or any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS

Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures; some knowledge of legal terminology, legal format and standard legal instruments; working knowledge of the court system.

Ability to assemble data, and prepare accurate records and reports; ability to effectively meet and deal with the public; ability to communicate effectively, both verbally and in writing; ability to handle stressful situations.
